Import Contacts into SuiteCRM from a CSV File Step by Step
Your customer list already exists — in Excel sheets, phone books and old registers. This is how it moves into SuiteCRM cleanly, in one afternoon, without creating a duplicate-filled swamp.

The import itself is the easy part; SuiteCRM has a proper Import Wizard built in. What decides success is the thirty minutes before you click it: a tidy spreadsheet, one agreed format for phone numbers, and no duplicates. Import dirty data and the CRM starts life as a place nobody trusts. Import clean data and the team sees their whole customer history on day one.
contacts.csv — one row per person, one column per fact
First Name, Last Name, Account Name, Mobile, Email, City
Ramesh, Gupta, Gupta Traders, 98110xxxxx, [email protected], Delhi
Sunita, Verma, Verma Enterprises, 98220xxxxx, [email protected], Jaipur
First row = column headings, exactly matching what you will map in the wizardFormat ✓
👆 A clean CSV looks boring — and that is the point. One row per contact, headings on top, no merged cells, no notes in random columns.
1
Prepare the Spreadsheet First
In Excel, make the first row headings only: First Name, Last Name, Account Name (company), Mobile, Office Phone, Email, City
One row per person. If a company has three contacts, that is three rows with the same Account Name — SuiteCRM links them to one company
Pick one phone format and stick to it. Numbers stored as text keep their leading zero and country code safe
Delete empty columns and any "remarks" columns that mix five facts in one cell — split them or leave them out
Save as CSV UTF-8 — this protects names with special characters from turning into garbage
2
Remove Duplicates Before, Not After
Use Excel's Remove Duplicates on the phone and email columns, and sort by name once to eyeball near-duplicates — the same person saved as "R. Gupta" and "Ramesh Gupta" fools software but not you. Ten minutes here replaces hours of merging records inside the CRM later, when you can no longer tell which copy has the right number.
3
Run the Import Wizard — on Ten Rows First
Open Contacts → Import Contacts and upload your CSV
On the mapping screen, match each CSV column to the SuiteCRM field it belongs to — this is where the tidy headings pay off
On the duplicates screen, tell SuiteCRM to check against email and phone, so a repeat import does not double your list
Import only the first 10 rows as a test. Open them, check names, numbers and company links
Happy with the test? Import the full file the same way
4
Companies Import Separately
If your sheet also holds company details — addresses, industries, billing notes — import those into Accounts as their own CSV, using the exact same company names as in the contacts file. Matching names are how contacts find their company. Import accounts first, then contacts, and the links fall into place.
🔴 Keep the original spreadsheet. Save the pre-import file somewhere safe for the first month. If an import goes wrong, the fastest fix is delete-and-reimport from a good source — impossible if the only copy was the swamp itself.

My Excel file has 5,000 contacts. Will the import handle it?
Yes, but import in batches of a few hundred to a couple of thousand at a time. Smaller batches finish faster, and if one batch has a bad row, you fix a small file instead of hunting through thousands of lines. The ten-row test first is still worth it.
A contact works for a company. Where does the company go?
Companies live in Accounts, people live in Contacts, and each contact is linked to one account. Put the company name in a column of the contacts CSV exactly as it appears in the accounts list, and SuiteCRM makes the connection during import.
The import created duplicates anyway. Can I undo it?
Imports can be tracked and the imported records deleted from the import history if you act promptly and have not edited them since. After edits begin, merging duplicates one by one is the only route — which is why the test import and the duplicate-check settings matter so much.
