🖥️ Hosting Honest Guide

SuiteCRM Hosting Requirements What the Machine Really Needs

The software is free, but it still has to live somewhere. Here is what a self-hosted SuiteCRM genuinely needs — and which corners you can safely cut for a small office.

People overthink CRM hosting in both directions: some buy a big server for five users, others install it on a laptop that sleeps every evening. The truth is plain. SuiteCRM is a modest web application — a PHP program talking to a MySQL database. What it needs most is not power, it is presence: a machine that is on whenever your team is working, reachable at an address that never changes.

SuiteCRM host — the honest minimum checklist
✅ A machine that stays ON during all working hours
✅ 2 GB RAM or more (4 GB is comfortable for a growing team)
✅ 20 GB free disk or more — customer data grows slowly, attachments grow faster
✅ A wired network connection and a fixed (static) IP address
⚠️ A laptop is fine for a trial — sleep mode will keep "breaking" your CRM
❌ Your own daily-use PC — every restart logs the whole office out

👆 Presence beats power. A forgotten old desktop that never sleeps is a better CRM host than a fast laptop that does.

1

The Three Ways to Host It

Pick by how your team works, not by what sounds impressive:

2

Why Static IP and Wired Network Matter

Two boring details decide whether the team trusts the system. A static IP means the CRM's address never changes, so bookmarks, shortcuts and the link in everyone's browser keep working month after month. And a wired Ethernet cable beats Wi-Fi for a server: no signal drops, no reconnect delays, no "CRM is slow today" that is really the router struggling. Servers sit still — plug them in.

3

What You Do Not Need

You do not need a graphics card, a big processor, or a "server edition" of anything for a small team. A ten-year-old office desktop with a healthy disk will run SuiteCRM for a handful of users without breaking a sweat. Spend your attention — and any money — on the two things that protect data: a disk that is not already dying and a backup habit, covered in the backup guide below.

🔴 One honest cost note: "free hosting" on your own PC means you become the hosting company. Power cuts, a Windows-loving colleague who restarts the machine, a failed fan — all become your problem. For a small office that is a fair trade for zero monthly fees, as long as you walk in with your eyes open.

❓ Common Questions (FAQ)

Can I install SuiteCRM on my own working PC and use it from there?

You can for a solo trial, but every restart, shutdown or sleep logs everyone out, and your work PC becomes a single point of failure for the whole team's customer data. A separate always-on machine — even a very old one — is the honest setup for real use.

How many users can one small PC handle?

For normal CRM work — viewing contacts, logging calls, updating deals — a modest PC comfortably serves a small team of a few dozen users, because most of the time most users are reading, not writing. Huge report runs and bulk imports are the heavy moments, and they are occasional.

Office PC or VPS — which is safer for my data?

Different risks, not more or less safety. An office PC keeps data physically with you but depends on your backup discipline. A VPS gives you the provider's hardware reliability but puts login pages on the internet, where password quality and updates decide everything. Pick the risk you are better equipped to manage.
