🔧 Maintenance Routine

SuiteCRM Updates and Maintenance Keep Your CRM Alive and Secure

Installing SuiteCRM makes you its hosting company — and hosting companies do maintenance. Here is the small, honest routine that keeps a self-hosted CRM safe and quick for years.

🎥 The install video gets you running — this guide keeps you running, safely, month after month

Self-hosted software has one honest catch that no install video can remove: nobody updates it for you. There is no cloud team patching your server at night. The good news is that the needed routine is small — an hour a few times a year, plus ten minutes a month — and almost every “our CRM got hacked” or “the upgrade broke everything” story traces back to skipping the same two rules: no backup before changes, and updates left for years.

The maintenance rhythm that actually works
Before any upgrade — non-negotiable
✅ Full backup taken and stored off the machine
✅ Upgrade tested on a copy first, if you have one
Monthly — ten minutes
✅ System updates applied to the appliance
✅ Leavers' accounts set to Inactive
✅ Schedulers showing recent successful runs
Yearly
⚠️ SuiteCRM version upgrade — planned, not improvised

👆 Small and regular beats big and rare. The two backup rules at the top prevent nearly every upgrade disaster story.

1

Two Kinds of Updates — Do Not Confuse Them

System updates patch the Linux appliance underneath — the operating system, web server and database. On TurnKey these arrive through the normal package update mechanism and are low-drama; apply them regularly, because they carry the security fixes. SuiteCRM upgrades change the application itself — new version, new screens, changed internals. These are projects, not chores: read the upgrade notes, expect your customisations to need checking, and schedule them for a quiet day.

2

The Upgrade Procedure, in Order

  1. Take a full backup — database and files — and copy it off the machine (the backup guide on this page is the reference)
  2. If you run the CRM as a VM, take a snapshot too; it is a five-minute insurance policy
  3. Run the upgrade using the official upgrade package for your exact current version
  4. Log in as admin and as a normal user; open contacts, deals and reports; send a test email
  5. Only then tell the team it is done. If anything is broken, the backup — not optimism — is your way back

Housekeeping That Stops Slow Decay

When to Get Help Instead

If the appliance is exposed to the internet, if an upgrade fails halfway, or if you suspect someone has been inside — stop improvising. A half-failed upgrade recovered calmly by someone experienced is a bill; the same upgrade "fixed" by random forum commands is often a rebuild. Know which jobs are yours and which are a phone call.

🔴 Never upgrade on a Friday evening. Every experienced admin has this scar. Upgrade when the next working day is available to notice problems — and when you are rested enough to follow the checklist instead of skipping to the exciting part.

❓ Common Questions (FAQ)

What happens if I never update SuiteCRM at all?

It keeps working — until it does not. Unpatched systems accumulate known security holes, browsers and PHP versions move on, and when you finally must upgrade, you face several versions at once instead of one. Offices rarely get in trouble for updating slowly; they get in trouble for updating never, then urgently.

An upgrade broke a custom field. Am I stuck?

Usually not. Custom fields and layouts are stored in the system and typically survive, but they should be checked right after upgrading — that is what the post-upgrade test login is for. If something is genuinely broken, you restore the pre-upgrade backup and try again on a copy, with time to investigate instead of a team standing idle.

Does the TurnKey appliance update itself automatically?

TurnKey systems check for and can automatically install security updates for the operating system, but SuiteCRM application upgrades are always your decision and your job. That split is deliberate — nobody should wake up to a changed CRM without choosing the moment.
