The most expensive misunderstanding in self-hosting is expecting Nextcloud to replace email. This page draws the line clearly — what you get, what you do not, and the setup that actually works.
Somewhere in every office migration meeting, someone asks: "So this replaces our Gmail completely, right?" No — and believing it does is how migrations fail. Nextcloud is a file, document and collaboration system. Email is a separate, older and much more unforgiving service. Here is the honest division of labour.
Nextcloud handles files, calendar and contacts. Email delivery itself is a separate service — keep it where it is.
Nextcloud has a Mail app, and it is genuinely useful — but it is a mail client, not a mail server. You connect it to your existing mailboxes (your Google, Microsoft or company mail accounts) and it shows that email inside the same screen as your files and calendar. Your mailboxes, your mail delivery and your spam filtering all still live with whoever hosts your email today. Think of the Mail app as a window, not the post office.
Running a real mail server is the hardest job in small-office IT, and it is getting harder. Your server’s mail gets rejected or spam-foldered by Gmail and Outlook unless its IP reputation, reverse DNS and the SPF, DKIM and DMARC records are all perfect and stay perfect. One compromise or one blacklist entry and the whole office’s mail silently stops arriving in inboxes. Mail hosting is also the cheapest part of Google Workspace or Microsoft 365. The maths is one-sided: rent email, own your files.
Here the news is all good. Nextcloud includes a full calendar and contacts system speaking the standard CalDAV and CardDAV protocols, which means they sync properly with phones and with Outlook and Thunderbird on desktops. Meeting invitations to people outside work through email as usual. Shared team calendars — the office holiday chart, the delivery schedule — work exactly as staff expect. This part genuinely replaces the Google or Microsoft equivalent, and it is the part offices underestimate until they use it.
Nextcloud includes Talk — text chat, and audio and video calls — which covers internal office communication well for small teams. Be honest about scale: large group video calls for dozens of people need extra infrastructure and bandwidth, and most offices sensibly keep a separate meeting tool for client-facing calls. For desk-to-desk chat and quick internal calls, Talk is a pleasant bonus, not a promise to cancel everything else.
The video above shows the file and document side running. Pair it with your existing email and you have the complete, honest office setup.
Watch Full VideoIt can display and send through your existing mailboxes via the Mail app, but it does not host mailboxes or deliver mail itself. Your Google, Microsoft or mail-host account does that job. This is a deliberate recommendation, not a missing feature — self-hosted email deliverability is a full-time fight.
Yes. Nextcloud calendars use the standard CalDAV protocol and contacts use CardDAV, both of which Android and iPhone support through standard apps. Staff typically notice no difference after the first setup.
Many offices drop to the cheapest email-only tier or a simple mail host, and stop paying for the full storage-and-apps bundle for every user. The file storage, sharing and document editing — the growing part of the bill — moves to your own server at no per-user cost.
