Move Tally Data to the Cloud Server Backup Restore and Licence

The server is ready and TSplus is installed. Now comes the step with real consequences: moving the company's actual data. Done with Tally's own backup and restore, it is a calm half-hour. Done by copying folders, it is how books quietly split in two.

🎥 Full video — the complete Tally on cloud deployment with TSplus, step by step

This page is the moving day checklist for the setup in the video. The principle behind every step: Tally data moves through Tally — backup on the old machine, restore on the server — and the licence moves through Tally's own surrender and reactivation. For smaller transfers between individual PCs, this series also has a dedicated export guide; this page covers the full move onto your cloud server.

Moving Day — the Safe Order
1. Backup every company from the old PCThrough Tally itself
2. Restore on the server and tally the balancesVerified before use
3. Surrender licence, reactivate on the serverLicence travels legally
Copying the live data folder mid-workBooks split silently
Backup, restore, verify, then licence. Any other order creates stories you will retell at audit time.
1

Move the Data with Backup and Restore

  1. On the old PC, close all work and take a Tally backup of every company you are moving — including the ones nobody has opened this month
  2. Carry the backup files to the server (a download link or drive is fine — they are files, treat them as valuable ones)
  3. On the server, restore each company into the fresh Tally installation
  4. Open every restored company and tally the headline numbers — trial balance, stock summary, outstanding totals — against the old PC before anyone enters a single voucher

Never copy the live Data folder while Tally is open on the source machine, and think twice even when it is closed: backup-and-restore exists precisely because it produces a consistent, verified copy.

2

Move the Licence Honestly

A Tally licence belongs to one installation at a time. Moving to the cloud server means surrendering the licence on the old PC and reactivating it on the server, through Tally's normal licence process — the same honest handover used whenever Tally changes machines. Do this during the cut-over, keep the old PC untouched until the server is verified, and remember the edition question: if several staff will now work simultaneously, the server needs the multi-user (Gold class) edition, and no migration trick changes that.

3

Cut Over on a Quiet Day — and Never Run Two Live Books

  1. Pick a quiet day — a Sunday or a month-start morning, not the GST filing evening
  2. Announce a freeze: after the backup is taken, no entries on the old PC at all
  3. Restore, verify, then let the team in on the server the same day
  4. Keep the old PC's data read-only as an archive for a few weeks — people may check old figures, but all new work happens only on the server

The one unforgivable migration sin is two live copies: a week of entries on the old PC and a week on the server cannot be merged by any honest method, and reconciling them costs more than the entire cloud project.

🔴 Verify before you celebrate: the migration is finished when the balances on the server match the old PC exactly — not when the restore progress bar completes. Ten minutes of tallying on moving day is the cheapest insurance in the whole project.

❓ Common Questions (FAQ)

Can I just copy the Tally Data folder to the server?

It often appears to work, which is what makes it dangerous: a folder copied while files were open or mid-write can carry silent inconsistencies that surface months later. Tally's backup and restore makes a consistent copy and verifies it — for your live books, use it.

Do I need to buy a new Tally licence for the cloud server?

Not a new one — your existing licence is surrendered on the old machine and reactivated on the server through Tally's licence process. What may need to change is the edition: simultaneous multi-user work requires the multi-user edition, whichever machine it runs on.

How long should we keep the old PC data after moving?

Keep it, untouched and read-only, at least until the first month-end closes cleanly on the server — most offices keep it a full quarter. It costs nothing to keep and is your fallback if a migration question appears late.
