Outlook Search Not Working Fix Rebuild the Search Index
You can see the email in the folder with your own eyes, but Outlook search swears it does not exist. That is an index problem, not a mail problem - and the rebuild fixes it properly.

Outlook search does not read your mailbox live; it asks the Windows Search index, a catalogue built in the background. When that catalogue is incomplete or corrupt, search returns no results, misses recent mail, or shows the yellow warning that results may be incomplete. Rebuilding the catalogue is the definitive fix - but check the two smaller causes first, because they take sixty seconds.
Outlook search_ □ X
You searched for: invoice march
No results found. Try searching again, or check your search scope.
StatusWe are having trouble fetching results from the server... results may be incomplete
The empty result list for mail you know exists - the classic signature of a broken or unfinished search index
1
Check the Scope and the Obvious First
Click into the search box and set the scope to All Mailboxes or Current Folder deliberately - searching the wrong folder mimics broken search perfectly
Remove any leftover search filters (the small filter chips under the ribbon) and try a single plain word you can see in an open email
If even that fails, continue - the index itself is next
2
Confirm the Windows Search Service Is Running
Press Windows + R, type services.msc, Enter
Find Windows Search. Its status should be Running with Startup type Automatic (Delayed Start)
If it is stopped or disabled, start it - some aggressive PC cleaner tools disable it, silently killing Outlook search
3
Verify Outlook Is in the Indexing Locations
In Outlook: File > Options > Search > Indexing Options
Confirm Microsoft Outlook appears in the included locations list
Check the status line at the top - it shows how many items remain to be indexed. A large number falling steadily is healthy; a number frozen for days is a stuck index
4
Rebuild the Index - The Real Fix
In the same Indexing Options window, click Advanced
Under Troubleshooting, click Rebuild and confirm
Leave the PC on and Outlook open. Indexing is background work and deliberately slows while you type
Be honest about the wait: a big mailbox can take hours, sometimes overnight. Search results improve progressively as the catalogue refills
5
Still Broken After a Clean Rebuild
Restart the PC once and give the indexer a clean run at startup
Check for a corrupt data file confusing the indexer - run ScanPST on a PST, or rebuild the OST for IMAP accounts, using the guides on this page set
Create a new Outlook profile as the last test: if search works there, the old profile's search registration was damaged, not your mail
🔴 Do not rebuild the index and judge it in five minutes. On a large mailbox an instant verdict is meaningless - the catalogue rebuilds item by item, and recent mail is usually indexed last. Test again after the status shows zero items remaining.

Why does Outlook search find old mail but not recent mail
The index builds in the background and recent items join the queue last, especially if the PC sleeps often. Leave Outlook open with the PC awake, and check Indexing Options - the remaining-items counter should be falling toward zero.
Does rebuilding the search index delete any email
No. The index is only a catalogue that points at your mail. Rebuilding deletes and recreates the catalogue; the mail in PST, OST and on the server is untouched.
Outlook search worked until I installed a PC cleaner - connected
Very likely. Several cleaner and debloat tools disable the Windows Search service to save resources, which breaks Outlook search as a side effect. Set the service back to Automatic (Delayed Start) and rebuild the index.
