🖨️ Printer Offline Cause

Shared Printer Shows Offline When the Host PC Is Off or Asleep

A USB printer has no life of its own. It exists on the network only while the PC it is plugged into is awake - so when that PC sleeps, the printer vanishes for everyone at the same moment.

The complaint always sounds like a network fault: the shared printer works in the morning, goes 'offline' after lunch, and mysteriously recovers later. Watch the host PC instead of the printer and the pattern explains itself - the printer goes offline at the exact times the host PC is asleep, off, or logged out, and it recovers the moment someone touches that PC. No driver reinstall fixes this, because nothing is broken. The sharing was set up right; the server is simply not there half the day.

One Office Day, Seen Honestly (Example)
9:05 AM - host user logs inPrinter online for everyone
1:30 PM - host PC asleep after lunchOffline for every client
Jobs sent while the host sleepsStuck in client queues, or error at once
Someone wiggles the host mousePrinter 'fixes itself', queued jobs print

Example timings. If the whole office loses the printer together and gets it back together, you are not looking at ten client faults - you are looking at one sleeping host.

Read the Signature Before Touching Settings

A sleeping host leaves a fingerprint no other fault copies.

  1. Ask whether all clients lose the printer at the same times - a host problem is always shared
  2. Note the times: start of day, after lunch, and after the host user steps away are the classic slots
  3. Wake the host PC and watch the printer status on any client - if it flips to Ready by itself, the diagnosis is done
2

Set the Host to Never Sleep While Plugged In

  1. On the host, open Settings then System then Power and set Sleep to Never for plugged-in power
  2. Or set it from an admin Command Prompt with powercfg /change standby-timeout-ac 0
  3. In Power Options advanced settings, also disable USB selective suspend so the USB port itself does not nap while the PC stays awake
  4. Leave client PCs alone - they may sleep as much as they like

Wake on LAN - What It Can and Cannot Do

Wake on LAN sounds like the clever answer, so here is the honest version. WoL lets a sleeping PC wake when a special 'magic packet' is sent to it - but a normal print job does not send that packet. Staff print, the host stays asleep, and the job fails first. WoL is useful for an admin who wakes the host remotely before working on it; it is not a way for walk-in printing to wake the host by itself. Even when something does wake it, the first print waits a minute or more for the PC to come up.

The Permanent Answer for a Busy Office

If the office prints all day, the printer should not depend on one person's PC habits. A printer with its own Ethernet or Wi-Fi connection - or the same printer moved behind a small print server - stays on alone, on its own address, whether or not anyone is at that desk. Until that day, the working rule is simple and costs nothing: the host PC stays on during office hours.

🔴 Do not 'fix' this by disabling sleep on every PC in the office. Only the host needs to stay awake. Clients sleeping is harmless - they only need the host awake at the moment they print.

❓ Common Questions (FAQ)

Why does the shared printer come back on its own sometimes?

Because the host PC came back - someone used it, a scheduled task woke it, or it woke briefly for maintenance. The printer status is simply following the host PC's day.

Will Wake on LAN let staff print while the host PC sleeps?

Not by itself. Print jobs do not send the wake-up packet, so the job fails before anything wakes. Something or someone has to wake the host first, and even then the first print waits for the PC to start.

Is it wasteful to leave the host PC on all day?

That is what an office host PC is for. If power matters, use a long sleep delay so it only sleeps after office hours, rather than in the middle of the working day.
