✍️ DSC Bulk Signing

Bulk PDF Signing with DSC Token Sign Many PDFs at Once

Tender documents, invoices and office files often arrive in a pile of 50, 100 or more PDFs — and every single one needs your digital signature. Signing them one by one wastes half a day. With a DSC token and the bulk method, you sign the whole folder in one run.

A DSC (Digital Signature Certificate) stored on a USB token is the standard way to sign documents for government tenders, GST, MCA and office work in India. Most people open each PDF in a reader, sign, save, and repeat — a slow, error-prone loop. A bulk signing tool turns that into a single job: point it at a folder, choose your certificate, enter the token PIN once, and every PDF comes out signed. This guide walks through the complete workflow, where the signature appears, and how to prove the signed files are valid.

☝️ One folder in, one folder of signed PDFs out — the token stays plugged in for the whole run
1

What You Need Before You Start

Bulk signing fails most often because one small piece is missing. Keep these four ready first.

  1. Your DSC USB token with a valid, unexpired certificate (Class 2 or Class 3) issued by a licensed Certifying Authority
  2. The token driver and middleware installed — this software comes from your token maker and lets Windows see the certificate
  3. The token PIN — type it carefully; repeated wrong attempts can lock the token
  4. A bulk PDF signing tool on the PC, and the PDFs collected in one folder
2

Prepare Two Folders — Source and Signed

Never sign directly over your originals. A clean folder setup protects you if anything goes wrong mid-run.

  1. Create a folder such as C:\PDFs-To-Sign and copy every unsigned PDF into it
  2. Create a second, empty folder such as C:\PDFs-Signed for the output
  3. Remove any password-protected or corrupt PDFs from the source folder — one bad file can stall a whole batch
  4. Close all the PDFs everywhere else on the PC, so no file is locked by another program
3

Select the Certificate from Your Token

Plug the token in before you open the signing tool, so the certificate list loads correctly.

  1. Insert the DSC token into a USB port and wait a few seconds
  2. Open the signing tool and switch to its bulk or folder signing mode
  3. Choose the source folder and the signed output folder
  4. From the certificate list, select your signing certificate — check the name and expiry date shown, not just the first entry
  5. If the list is empty, the token driver is missing — install the middleware first, then reopen the tool
4

Set the Signature Position Once

The visible signature block is placed at the same spot on every page, so set it thoughtfully.

  1. Pick the placement the tool offers — a fixed corner, or a position you mark on a sample page
  2. Keep the block where it does not hide document content — bottom corner of the last or first page is the common choice
  3. If the tool allows a signature appearance with your name and date, keep it simple and readable
  4. Remember: the visible block is only the picture. The real, verifiable signature is the cryptographic data embedded in the file
5

Enter the PIN Once and Run the Batch

This is the step that replaces hours of repetition.

  1. Click the sign or start button — the tool will ask for the token PIN
  2. Enter the PIN once. The batch uses that one authenticated session to sign every file
  3. Do not remove the token while the run is in progress
  4. Watch the progress list — note any file marked failed or skipped, and handle those separately afterwards

If the tool asks for the PIN again and again for every file, its session setting or the token middleware needs attention — a healthy bulk run asks once.

6

Where the Signature Appears and How to Check It

A signed PDF carries two things: the visible block you placed, and the embedded signature data that actually matters legally.

  1. Open any signed PDF from the output folder
  2. Open the Signatures panel in your PDF reader — your signature entry should be listed
  3. Click the signature to see the signer name, the issuing Certifying Authority and the signing time
  4. A question mark or Validity Unknown message does not mean the signing failed — it means that reader does not yet trust the Indian CA chain. That is a reader setting, fixed separately
7

The Legal Weight of What You Just Did

Bulk does not mean casual. Every file in that folder now carries your legally binding signature.

  1. A DSC signature is legally valid under the Information Technology Act, 2000 and carries the same weight as your handwritten signature
  2. Only bulk-sign documents you have actually reviewed — the law treats each signed file as signed by you personally
  3. Never sign with someone else's token, and never let anyone else sign with yours — the certificate is issued to one named person
🔴 Honest note: bulk signing signs every PDF in the source folder — including any file you dropped in by mistake. Review the folder before you run the batch, and keep your originals separate. One click is powerful, and it does not ask twice.

❓ Frequently Asked Questions

Can I bulk sign PDFs without a DSC token?

For a legally valid digital signature on Indian portals and tenders, no — the signature must come from a certificate issued by a licensed Certifying Authority, which is supplied on a USB token (or as a file-based certificate in limited cases). A typed name or scanned signature image is only a picture; it has no legal standing as a digital signature.

Does the token PIN have to be entered for every PDF?

No. In a proper bulk run you enter the PIN once and the signing session stays open for the whole batch. If you are prompted for every single file, the tool's session option or the token middleware is not working as it should.

Are bulk-signed PDFs accepted on tender portals?

Yes. Portals check the cryptographic signature inside each PDF, and a bulk-signed file carries exactly the same signature as one signed individually. What matters is that the certificate is valid, unexpired and of the class the portal requires.
