Microsoft 365 Web Apps on Linux The Practical Way to Use Office

The most reliable Office on Linux is not Wine at all — it is Word, Excel and PowerPoint in your browser, straight from Microsoft. Free with a Microsoft account, nothing to install, and your files stay in real Microsoft formats that open identically everywhere.

Open microsoft365.com, sign in, and the familiar apps are simply there. For letters, school work, invoices, budgets and most everyday documents, the web apps are genuinely enough — and they never eat an evening the way a broken Wine prefix can. This guide shows how to use them well on Ubuntu, and states their real limits just as plainly.

microsoft365.com — what the free web tier gives you on Linux
Word ........ create and edit DOCX, real-time sharing and comments Excel ....... XLSX with formulas, charts and sorting — no VBA macros PowerPoint .. PPTX with the standard themes and transitions OneDrive .... 5 GB free storage, the same files on every device Install ..... none — any modern browser on Ubuntu
No prefix, no activation, no installer. For most everyday documents this is the whole requirement list.
1

Set It Up in Two Minutes

There is almost nothing to set up, which is precisely the point.

  1. Open microsoft365.com in Firefox or Chrome and sign in with a Microsoft account — a free one is enough
  2. Your files live in OneDrive, with 5 GB free
  3. Upload the documents you already have once, and from then on they follow you to every machine you sign in on

Because Microsoft runs these apps, a DOCX here is as native as a DOCX gets. There is no conversion layer and no substitute font quietly moving your pages around.

2

Make It Feel Like a Desktop App

The browser-tab feeling is the main thing people dislike, and it is optional.

  1. In Chrome or Chromium, open the Word web app
  2. Use the browser menu — Save and share, Install page as app — or create a shortcut set to open as a window
  3. Word now launches from your Ubuntu app grid like a local program, in its own window, with its own icon

Pin your most-used app to the dock and the daily experience is honestly close to a desktop suite — minus the local files, which is the trade examined below.

3

Know the Real Limits Before You Rely on It

The web apps are a large subset of Office, not all of it. The gaps that actually bite people are these.

  1. Excel for the web does not run VBA macros, and Power Query and some add-ins are reduced or absent
  2. Word for the web has no mail merge, and some advanced layout and reference tools are trimmed
  3. Offline work needs the document opened before you disconnect — there is no true offline mode

None of this matters for most documents. All of it matters if your office runs on macro workbooks — and then neither Wine nor the web is your answer; a Windows machine or virtual machine is.

4

Work Offline the Smart Way

Ubuntu users are not always online, so plan the offline day instead of being surprised by it.

  1. Download the files you will need while you still have a connection
  2. Edit them locally in LibreOffice or OnlyOffice — the same DOCX opens there
  3. Upload the edited copy when you are back, and let OneDrive hold the newest version

Small formatting shifts can appear when a file round-trips through a local suite. For anything being printed or submitted, give the final version one look in the web app before it goes.

5

When Web Apps Beat Wine — And When They Do Not

Choose the web apps when your work is collaborative — shared links, comments and two people in one document are things Wine Office does badly and the web does natively. They also win on current features, zero maintenance and zero activation drama.

Choose Wine, a virtual machine or dual boot when the work is heavy macro workbooks, complex print-perfect layouts, or days of fully offline work. That split — web for the everyday, Windows for the heavy — is the setup most Linux users end up happy with.

🔴 Privacy, stated plainly — web apps mean your documents sit on Microsoft's servers. For most people that trade is fair and it is how the free tier works. But if a document must never leave your machine, skip the web and use a local suite — that is a legitimate choice, not paranoia.

❓ Frequently Asked Questions

Is Microsoft 365 for the web really free

Yes. Word, Excel and PowerPoint web apps are free with a Microsoft account, including 5 GB of OneDrive storage. Paid plans raise the storage and add desktop apps and features, but the web tier itself costs nothing.

Will web Excel open my macro workbook

It opens, and you can view and edit cells — but VBA macros do not run in the browser at all. Macro-heavy work needs desktop Excel, which on Linux means a Windows virtual machine or dual boot.

Do the web apps work in Firefox on Ubuntu

Yes, they run in Firefox and in Chrome-based browsers on Linux. Chrome-based browsers give the smoothest experience for installing a web app as a desktop-style window.
