Archive Old Mail From OST to PST With Outlook Archive and AutoArchive
You do not always need the whole mailbox as a PST. If the job is getting the old years out - to shrink a mailbox, keep a copy before leaving, or rescue history from a full OST - Outlook's Archive tool does exactly that, free, and AutoArchive can keep doing it on a schedule.

Export takes everything; archive takes the old stuff. You pick a date, and Outlook moves everything older than that date out of your mailbox into a separate file, normally called archive.pst. The mail disappears from the OST and the server mailbox, and lives in that PST instead - which is why archiving is both a conversion route and a space-saving tool, and why you must know exactly where the file lands before you start.
One dialog decides the date and the destination. Check the file path before clicking OK - this is the file you will need to keep safe afterwards

Archive or Export - Pick the Right One First
If losing the PST would lose the mail, archive with respect. If the mailbox must stay untouched, export instead.

Run a Manual Archive in Five Steps
Go to File > Info > Tools and choose Clean up old items (in some versions it sits under Cleanup Tools, then Archive)
Select Archive this folder and all subfolders, or pick one folder if you only want part of the mailbox done
Set Archive items older than - everything before this date moves. A common sane choice is the start of last year
Check the Archive file path and change it to a drive you actually back up
Click OK and let the status bar finish. The archive.pst then appears in your folder pane

Where the Archive File Lives and Why It Matters
By default the archive lands in your Documents Outlook Files folder - on the same PC, same disk as everything else. That is fine as a working arrangement and useless as protection. If this archive holds the only copy of old mail, copy the PST somewhere else: an external drive, a NAS, anywhere that survives this laptop dying. And remember it is a live data file while attached - close Outlook before copying it, so the copy is complete and clean.

AutoArchive - the Same Job on a Schedule, Briefly
AutoArchive repeats the manual archive automatically. You will find its settings under File > Options > Advanced > AutoArchive Settings: how often it runs, the default older-than period, and which file it writes to. Each folder can also override the default - right-click a folder, open Properties > AutoArchive, and set its own rule, including do not archive for things like a current projects folder.
Be honest with yourself about one setting: AutoArchive can also be told to permanently delete expired items instead of archiving them. If you did not choose that deliberately, check it is off - silent deletion dressed as tidying has ended more mail history than any virus.

What Archive Does Not Touch
Items newer than your date stay in the mailbox - by design, not by failure
Folders marked Do not AutoArchive are skipped by the scheduled runs
Calendar items archive by their date, so last year's meetings move out too - some people prefer archiving mail folders one by one for this reason
The OST itself does not shrink on disk instantly; Outlook compacts it over time, or you can compact it from the Data Files settings
🔴 Archiving is moving, not copying. After a manual archive, those old messages exist only in the archive.pst. Treat that file like the mailbox it now is - back it up, and never let a cleanup tool or a new-PC migration leave it behind on the old disk.
🎥 Watch the Complete Process in the Video
Watch the video to see where archive sits among the free conversion routes, and how the finished PST looks inside Outlook.
In your Documents folder under Outlook Files, unless you changed the path in the Archive dialog or AutoArchive settings. Check the Data Files tab in Account Settings - it lists every attached file with its full path.
Can I archive an IMAP or Exchange mailbox the same way
Yes. Archiving works on the items as Outlook sees them, whatever the account type. Just remember the moved items leave the server mailbox too on Exchange and Microsoft 365 - the archive.pst becomes their only home.
My archive ran but the mailbox barely shrank - why
Usually the date was too recent, the biggest folders were set to not archive, or the OST has not compacted yet. Check the archive.pst - if the items are there, the archive worked; the disk space follows after compaction.
