Leaving Your Job and Your Mailbox What You May Take and What You Must Not
Few OST conversions are as common - or as quietly risky - as the one done in a notice period. The technical steps are identical to every other page in this series. The difference is permission. This page is the short, honest briefing to read before the export, not after.

Let us say the plain thing first, because every other line hangs on it: a work mailbox belongs to the employer - the messages in it, the attachments, the contacts gathered on company time. Converting your work OST to a PST and taking it home without permission can breach your employment terms, company policy and, for client or regulated data, the law. None of that stops the export button from working. It just makes pressing it the wrong way to leave.
Leaving a job - the usual position on each kind of data_ □ X
Work email, projects, client filesEmployer's property
Customer and vendor contacts from workEmployer's - do not copy
Payslips, offer letter, your HR documentsAsk HR - usually fine
Truly personal contacts and mailUsually fine - ask first
Rules vary by company and country, so treat this as the common pattern, not legal advice. When in doubt, one email to HR settles it - and that email protects you
1
Why the Export Button Is Not Permission
Outlook cannot tell the difference between your mailbox and your employer's. The export wizard will happily convert a work OST because, technically, it is just a file operation. Access is not ownership. You were given the mailbox to do a job in it; the contents created in that role stay with the organisation when the role ends - the same way the laptop, the keys and the company files do.
2
What Is Normally Fine to Keep
Documents about you - offer letter, payslips, appraisal letters, relieving and experience letters. These are yours in spirit; most employers hand them over or let you forward them without blinking
Your own personal contacts - family, friends, your personal network, where they were never company data
Anything HR or your manager approves in writing - approval turns a grey area into a clean one, so get it on email, not in a corridor
Notice what is not on this list: client lists, pricing, project files, team mail. If it would help your next job compete with this one, it is definitely not yours to take
3
The Front-Door Method That Protects You
Write to HR or your manager: you are leaving on this date, and you would like to keep your payslips, HR letters and personal contacts - may you export or forward those
Wait for the yes. In most workplaces it comes quickly, because the request itself signals honesty
Do the export before your last working day, while your access is legitimate and IT can help if something fails
Take only what was approved, delete your working copies of anything else, and hand the laptop back clean
Keep the approval email with your personal documents - it is your proof, forever, that the copy was authorised
4
What Goes Wrong for People Who Skip This
Exit checks and mailbox audits are routine in larger companies, and a full-mailbox export in the last week is exactly the pattern they look for. Outcomes range from a difficult relieving process to formal data-theft complaints - wildly out of proportion to the value of what was copied, which is usually an old mailbox the person never opens again. The front-door route costs one email. There is no version of this maths where quietly converting the OST wins.
5
And If It Is Your Own Business Mailbox
If the mailbox is genuinely yours - your own firm, your own Microsoft 365 tenant, your own domain - then none of this caution applies and the export is simply good practice: convert before changing laptops, providers or staff accounts, and keep the PST somewhere backed up. The rule was never about the tool. It is about whose data is inside the file.
🔴 Never run a converter or export on a work laptop after your access has ended, and never use a personal drive or mail account to spirit the mailbox out. If you forgot something genuinely personal after leaving, the safe route still exists: write to your old HR and ask. Companies forward payslips to ex-staff every day.

For the mechanical steps of exporting once you have permission, the video walks the full process on screen.
Can my employer tell if I exported my mailbox to a PST
In managed environments, assume yes - exports, large copies and converter tools are all visible to IT tooling, and last-week mailbox activity is a standard exit check. Act as if it will be seen, because it very plausibly will.
My manager verbally said I can take my contacts - is that enough
It is a good start, but get it in writing anyway - one short email from them protects you if the question is ever asked later by someone else. People leave, memories differ, emails remain.
I already left and forgot my payslips inside the mailbox - now what
Write to HR from your personal email and ask for copies. Employers hold your employment records and routinely provide payslips and letters to former staff. That is the normal, safe route - not recovering the old mailbox by technical means.
