First, a fact the marketing skips: the free desktop app alone does not give you Google-Docs-style collaboration. Real-time co-editing in ONLYOFFICE lives in its server products - Docs or DocSpace - which the desktop app can also connect to. With that said plainly, the co-editing itself is genuinely strong. This page grades it against the two cloud giants on the things teams actually feel: speed, control, comments, and who does the housekeeping.

Columns: ONLYOFFICE Docs, Google Docs, Microsoft 365. The trade is visible - control and cost on one side, zero housekeeping on the other.

1

What Co Editing Means Here

With Docs running on your server (or DocSpace, or a Nextcloud integration), several people open the same file in the browser and edit together: coloured cursors show who is where, changes appear live, and the file stays one file. Comments, mentions, chat in the document, track changes and a review mode cover the standard team rituals - draft together, comment, approve, done. Version history lets you walk back when a session goes wrong.

2

Fast and Strict - a Genuinely Useful Idea

ONLYOFFICE offers two co-editing modes. Fast mode streams every keystroke live, Google-Docs style, for true simultaneous writing. Strict mode locks the paragraph you are editing until you save, so others see finished chunks rather than half-typed thoughts - closer to how offices actually review contracts and tenders. Being able to choose per document is a thoughtful touch the cloud suites do not offer in the same way, and review-heavy teams tend to prefer Strict within a week.

3

Against Google Docs

Google Docs is still the smoothest collaboration on earth: zero setup, a link is the whole invitation system, and it never goes down because your office server did. ONLYOFFICE answers with the two things Google will not give you - the document never leaves your building, and there is no per-user subscription for the editing itself. If your team shares links with the public all day, Google remains easier. If your documents are quotations, HR files and client data that should stay home, ONLYOFFICE is the grown-up answer.

4

Against Microsoft 365

Microsoft 365 co-authoring is deeply woven into Teams, SharePoint and Outlook, and for a company already paying for it, that ecosystem is the real product. An ONLYOFFICE server gives you the editing core of that experience - simultaneous editing, comments, review - without the per-seat rent, but also without the surrounding empire: no equivalent of Teams, and email is a separate problem you solve yourself. Compare honestly: it replaces the documents part of Microsoft 365, not the whole subscription's worth.

5

The Honest Gaps

Somebody must run the server: install updates, keep backups, renew the HTTPS certificate, and be findable when it stops. External sharing with people outside your office takes more arrangement than a Google link. Mobile co-editing works but is lighter than the desktop browser experience. And the free Community server is aimed at small teams - a large organisation should expect the paid editions conversation. None of these are deal-breakers; all of them belong in the decision, priced in admin hours rather than rupees.

6

The Verdict for Real Teams

For a team inside one office - or one office plus its own server - ONLYOFFICE collaboration is not a compromise; it is the point of the product, and documents staying on your hardware is a benefit no cloud discount matches. For scattered collaborators, public link sharing and zero IT hands, Google Docs stays king. Choose by where your documents should live and who will maintain the machine - the editing itself, you will be happy with in all three.

🔴 Price the admin, not just the licence. A self-hosted Docs server that nobody updates becomes next year's security incident. If no one in the office can own it, the cloud suites are the honest choice - and there is no shame in that answer.

Common Questions (FAQ)

Can two people edit the same file in the free desktop app?

Not in the Google Docs sense. The desktop app is for local files; simultaneous editing needs the server side - ONLYOFFICE Docs or DocSpace - which the desktop app can connect to. Files emailed back and forth will always create version copies, in any suite.

What is the difference between Fast and Strict co editing modes?

Fast mode shows every change live as people type. Strict mode locks the part you are editing and shows your work to others when you save, which suits review and approval work. You can choose the mode per document in the server editors.

Is ONLYOFFICE collaboration really free for a team?

The Community edition of Docs is free and open source for small teams; you pay in server hardware and admin time instead of per-user fees. Larger deployments, official support and enterprise features move you to the paid editions - budget the admin honestly either way.
