📁 Scan to Folder Fix

Scanner Cannot Save to the Shared Folder After the Guest Block

The multifunction printer did not change. The folder did not move. Windows simply stopped letting the scanner walk in as a guest - and the fix is to give the scanner what every other user already has: a name and a password.

Scan to folder is the guest block's most innocent victim. For years, the office multifunction printer saved scans into a shared folder with no login at all, because that was the easiest way the installer found. Then the destination PC updated, or was replaced, and every scan now ends in an error on the printer's little screen - a network error, a login failure, a send error with a code nobody recognises. The printer is not broken and the folder is not gone. The scanner was a guest, and the door it used has been closed. The repair respects both machines: a dedicated account for the scanner, on the destination, with rights to the scans folder and nothing else.

What the Printer Reports vs What Actually Happened
Printer screenNetwork error / send failed
Actual eventThe PC refused a guest logon from the scanner
FolderStill shared, still in place
Scanner settingsAddress book entry has no username or password

Four views of one fault. Printer error messages are famously vague - the empty username field in the scanner's address book is the real confession.

1

Create the Scanner Its Own Account on the Destination

  1. On the PC or NAS that receives the scans, create a dedicated local account - name it honestly, for example scanner - with a strong password
  2. Share the scans folder and give that account write permission on the share, and modify permission in the folder's Security tab - scanning needs to create files, and some devices also need to read the folder first
  3. Do not give the scanner the owner's or administrator's password. The scanner account can be low-privilege, and its password can stay stable while personal passwords change - that stability is exactly why a dedicated account suits a device
2

Enter the Account in the Scanner's Address Book

  1. Open the printer's web panel from a browser - its IP address is on its network status page or a printed configuration sheet
  2. Find the address book or scan destinations, and edit the entry for the shared folder
  3. Set the path to the share, for example \\OFFICE-PC\Scans or the NAS address, exactly as a PC would use it
  4. Fill in the username in the form the destination expects - for a Windows PC, OFFICE-PC\scanner - and the new password
  5. Save, then run a test scan from the panel. A one-page test now saves more time than an hour of menu-diving later

Menu names differ wildly by brand - Address Book, Scan to SMB, Destination Settings - but every business multifunction printer has these fields, because authenticated SMB is the normal way offices scan.

3

When the Scanner Is Too Old for Modern SMB

Some ageing printers speak only SMB1, or only guest logons, no matter what you type. Two honest things to know. First, check for a firmware update - manufacturers added SMB2 and SMB3 with authentication to many models, and the update is free. Second, if no update exists, do not resurrect SMB1 on the PC and do not enable guest access across the office to keep one printer alive: SMB1 is the protocol of the WannaCry era, and guest access weakens every share the PC touches. The sane bridges are a small NAS or an always-on PC segment that accepts the scanner's scans and re-shares them properly - or replacing a printer that has become a security project. A scanner is a computer with a lamp; when it can no longer log in like one, it is telling you its age.

4

Prove It End to End

🔴 The seductive wrong fix is enabling guest access because of one printer. It takes two minutes and it works - and it silently reopens unauthenticated access on that PC for everything, forever, because of a device that needed one account and ten minutes of setup.

❓ Common Questions (FAQ)

The printer only shows a code like 075-XXX or error 031. Is it this problem?

Very likely, if scanning to that folder worked before and the destination PC is new or newly updated. Brand codes for SMB login failure vary, but the pattern is constant: scans fail after a PC change while printing still works. Check the address book entry for an empty username - that is the signature of a guest setup.

Can the scanner use the same account as the staff?

It can, but it should not. When that person changes their password - as they should - scanning breaks office-wide. A dedicated scanner account with a stable, strong password and rights only to the scans folder is the arrangement that survives staff changes.

Our scanner worked with the new PC for a week, then stopped. Why?

A classic half-fix: someone connected it with their own login, Windows cached the session, and it looked repaired - until the cache expired or the PC restarted. Enter the scanner's own credentials in its address book and the fix becomes the device's, not a borrowed session's.
