Back Up Personal and Office Outlook Data Files Separately
One combined backup quietly re-mixes everything you separated - and can strand a personal archive on company storage, or company mail on a personal drive. Back up each store on its own, to its own destination.

Separation work is not finished until the backups respect it too. Most people back up Outlook (if at all) as one lump - one folder, one drive, both worlds inside - and only discover the problem on the day they change jobs, change laptops or hand data to IT. This guide builds the per-store routine: close Outlook properly, copy each PST to the destination that matches its world, understand what the Export wizard does and does not save, skip backing up OST mirrors entirely, and - the step nobody does - actually test that a backup opens.
Backup Plan - Matched Destinations_ □ X

Each store backed up to the destination that matches its world - and the honest gap: rules and settings travel separately
1
Why One Combined Backup Undoes the Separation
A backup is a snapshot of your whole mail life, and it obeys the same rules as the live data:
If both worlds live in - or get copied into - one backup file or one backup folder, restoring 'the office part' after a disaster means restoring the personal part too, often onto a machine where it does not belong
A personal backup stored only on company storage can outlive your job there, in a place you no longer control
An office backup kept only on your personal drive is the mirror-image problem, and most employers have opinions about that
So back up store by store, to destinations that match the store. It costs no extra time once the routine exists.
2
The Copy Method - One Store at a Time
Close Outlook completely and confirm it is gone in Task Manager - a PST copied while Outlook still holds it open can be copied corrupted
Browse to C:\Users\YourName\Documents\Outlook Files
Copy Office.pst to the office backup destination and Personal.pst to the personal one, ideally with the date in the folder name, like Backup 2026-10
Keep at least two generations of each. A single backup that turns out to be corrupt or already-infected leaves you with nothing, and you only find out on the worst day
3
The Export Method - and Its Honest Limits
File > Open & Export > Import/Export > Export to a file > Outlook Data File (.pst) lets you export one store, or even one folder tree, at a time - useful for an annual archive or for handing office data back when you leave a job. Know its limits:
Export copies mail, calendar and contacts - not your rules, signatures or account settings. Those live in the profile and must be rebuilt, so keep a note of them somewhere safe
An export is a snapshot, not a sync. Next month's mail is not in it
Never tick the option to include a password on an export and call that security - the PST password is an old, weak check. Protect backups with the storage's own security (an encrypted drive or a proper backup tool), not with the PST password
4
OST Files, Schedules and the Restore Test
Do not waste backup effort on OST files. They are mirrors of server mailboxes; if one is lost, Outlook rebuilds it. Your backup duty is the PSTs (especially POP stores, where the PST may be the only copy) plus anything local-only
Put it on a rhythm: monthly copies suit most people; weekly if the mail is your business record. Match the destination to the world - office store to the office backup, personal store to your own drive or cloud
Test a restore once. Open a backup copy with File > Open & Export > Open Outlook Data File, confirm you can read real messages, then close it again. An untested backup is a hope, not a backup
🔴 Leaving a job soon? Settle the data question before your last week, with IT, in the open: export what is yours with permission, hand back what is theirs, and delete nothing unilaterally. Quiet copying in either direction is how a tidy separation turns into a dispute.

Does copying a PST back up my rules and signatures too
No. A PST holds mail, calendar and contacts. Rules partly live in the mailbox or profile, and signatures are separate files in your Windows profile. After any restore onto a new PC, expect to re-add signatures and rebuild client rules - keeping a short written note of your rules saves real time here.
How often should I back up an Outlook PST
Often enough that losing the gap does not hurt: monthly is a sane default for personal mail, weekly for a POP mailbox that is your business record. Remember that IMAP and Microsoft 365 mail also lives on the server, so the PST urgency mainly applies to POP stores and local-only folders.
Can I store my PST backup in cloud storage like OneDrive
Yes - as a closed, dated copy, that is a perfectly good destination, and it matches the personal store to personal storage. What you must not do is run Outlook against a live PST sitting inside a sync folder; sync the backup copy, never the working file.
