Split a Mixed Outlook Mailbox into Personal and Office
Years of personal and office mail in one tangled mailbox can be separated in one careful session - if you back up first, build the new home before moving, and work in passes instead of one giant drag.

The other guides in this series assume you are setting up separation from a clean start. This one is for the far more common situation: one mailbox, years deep, both lives thoroughly mixed - office threads in the personal folders, family mail in the office archive, Sent Items reading like a diary of both jobs. Splitting it is not hard, but it is unforgiving of improvisation, because a careless mass-move inside a huge PST is how messages get lost. Here is the order that works: freeze and back up, build the new structure, move in passes, rewire the rules, then run both worlds in parallel before retiring the old file.
Migration Day - Before and After_ □ X
BeforeOne PST - every folder a mixture
Step zeroFull dated backup copied, Outlook closed
The moveFolders first, then Inbox and Sent in passes
AfterTwo stores - old file kept as a frozen archive
The shape of the day: backup, build, move in passes, verify, retire - in that order
1
Step Zero - Freeze and Back Up Before Touching Anything
Migration day has one rule that outranks all others: nothing moves until a full backup exists.
Close Outlook completely and copy every current PST to a safe place with the date in the folder name - this is your undo button for the whole project
Note the rough size and message counts of the big folders. You will compare them at the end to prove nothing was lost
Pick a quiet window - an evening or a weekend. Splitting a mailbox while new mail keeps arriving in both directions is how items get double-filed or missed
2
Build the New Structure First
Decide the architecture (the comparison guide in this series) - most people doing a split choose two profiles for the clean break, or one profile with two data files if they need both inboxes visible
Create the new data files (Office.pst and Personal.pst) or the new profile, empty and ready
Set each account's delivery folder to its own store before moving old mail, so new arrivals stop feeding the mixed pile from this moment on
3
Move the Old Mail in Passes, Not in One Drag
Big drags across a huge mailbox are where Outlook freezes and people panic. Work in passes instead:
Pass one - the obvious bulk: move whole folders that clearly belong to one world, a project tree to office, a family tree to personal
Pass two - the mixed Inbox and Sent Items: sort or search by sender and domain (from:company.com and the reverse), select in blocks, and move each block to its world. Sent Items matters - it is where most people's mixed history hides
Pass three - the strays: calendar and contacts usually split by eye fastest. Export nothing yet; move, then verify counts against your step-zero notes
For IMAP or Exchange mail, prefer moving messages between folders on the server from within Outlook - that way the split is real on every device, not just a local rearrangement. Expect it to be slower, because every move is also an upload
4
Rewire, Run in Parallel, Then Retire the Old File
Rebuild the supporting cast in the new structure: rules (they lived in the old profile), signatures, and the default sending account with the delay-send safety net from our wrong-account guide
Run the new setup for about two weeks while keeping the old mixed PST attached but untouched - if something important turns out to be missing, it is one search away
Do a final sweep of the old file by date and sender for stragglers, then close it in Outlook (right-click the store > Close) and keep the file itself as a frozen archive, clearly named, in the backup location of the world it mostly belonged to
Make a fresh backup of the new structure, per store. Migration day ends when the backups match the new world, not when the dragging stops
🔴 The panic moment to expect: halfway through, a moved folder will look empty because Outlook is still indexing and syncing it. Do not 'fix' it by dragging things back. Give it time, check the item count, and compare against your step-zero notes before concluding anything is lost.

How long does splitting a mixed mailbox actually take
For most home and small-office mailboxes, one focused evening: an hour of preparation and backup, then passes of moving that depend on size and on how much is server mail that must upload as it moves. Very large or mostly-IMAP mailboxes can take a second session. It is a poor task to start an hour before you need the laptop.
Should I move mail between accounts or export and import PSTs
Moving inside Outlook, folder by folder, is safer for most people because you can see and verify each step. Export-and-import earns its place when you are also changing profiles or machines. Either way, the backup-first rule is identical, and the old file stays untouched until the new structure has survived two weeks of real use.
What do I do with mail that genuinely belongs to both worlds
It exists - the colleague who is also family, the freelance client who became a friend. Pick the world where the consequences of a leak would be worse, file it there, and move on. Perfect classification is not the goal; a mailbox that is 98 percent cleanly split, with a handful of judgement calls, is a completely successful migration.
