Nextcloud or a Plain Shared Folder Honest Answer for Small Teams
A shared folder is free, instant and understood by everyone. Nextcloud is a server you must run. Sometimes the folder is genuinely the right answer - and sometimes it quietly stops being one.

Not every team needs a cloud. A network shared folder - the classic shared drive on one PC or a NAS - has served small offices for decades, and for some it still does everything required. This page refuses the fan answer both ways: what the humble shared folder honestly does well, the exact points where it stops working, and what Nextcloud adds that a folder structurally cannot.
Same job, two tools
Speed inside the officeFolder - full LAN speed
Works from outsideNextcloud - built for it
Share a file with a clientNextcloud - a link with expiry
Phone photo backupNextcloud - automatic
Someone must maintain itNextcloud - yes, you
The honest split - the folder wins two of these rows outright
1
What a Shared Folder Already Does Well
Give the folder its due. On the office network it is fast - full LAN speed with big files, no sync copies eating every laptop's disk. Every program ever written can open files from it, nobody learns a new interface, and there is nothing extra to patch, back up separately or pay for. For two or three people in one room working on the same documents all day, that combination is not a compromise - it is the correct tool, and this site has a whole guide on building file servers exactly this way.
2
Where the Folder Stops Working
The cracks appear at predictable edges:
Outside the office - the folder simply is not there. Home working turns into emailing files to yourself, and version chaos follows within a week
Sending one file out - there is no link with an expiry date and a password; the file leaves as an email attachment, copied forever, or not at all
Phones - nobody's photos auto-upload to a shared folder, and nobody opens it comfortably from a phone
Accidents - one person overwrites or deletes, and the folder has no versions or trash of its own to undo it with. Whoever saved last, wins
People control - per-person accounts, quotas and an activity record are shallow or absent compared to a real platform
3
What Nextcloud Adds - and What It Costs
Nextcloud answers each crack directly: browser and app access from anywhere, expiring share links, automatic phone uploads, file versions and a trash bin, per-user quotas and groups, and room to grow into calendars, contacts and browser document editing. None of that is free of cost in the other currency - your attention. A Nextcloud is a server: it needs the install, the hardening, the data disk, the backups and the updates this series covers. The snap route shrinks that work to the smallest it can honestly be, but it never reaches the shared folder's zero.
4
The Choosing Rule
Everyone works in one place, on the same network, mostly big local files: the shared folder is honestly enough - spend your effort on its backup instead
Anyone regularly works from home, travels, sends files to clients, or lives on their phone: Nextcloud earns its keep from the first week
Both is allowed: many small offices keep the folder for heavy in-office work and run Nextcloud for outside access and sharing - Nextcloud can even present the shared folder inside itself through its External Storage app, so the team sees one place
Choose by where your people actually work, not by which tool sounds more modern.
🔴 One warning whichever you choose: neither tool is a backup. A shared folder can be deleted from any desk, and Nextcloud sync faithfully copies deletions everywhere. The winner of this comparison still needs a dated, separate backup behind it.

Decided the cloud is worth it? The install in the video takes one command.
For synchronising your own phone, laptop and desktop - plus automatic photo backup - it is genuinely well-sized, not overkill. For a single computer that never moves, a folder and a backup honestly do the same job.
We already have a shared folder. Is switching painful?
The files copy across in one move; what does not transfer is habits - links, per-person accounts and phone apps are new for everyone. Most small teams run both side by side for a few weeks and let people migrate at their own speed.
Can Nextcloud just be a prettier front end to our existing folder?
Partly, yes - the External Storage feature can show an existing network share inside Nextcloud. It is a good bridge, with one caveat: features that need Nextcloud's own storage, like full version history, work best on files that live in Nextcloud itself.
