Excel Freezes When Printing or Opening Print Preview
Editing is smooth, saving is instant — but the moment you open Print Preview or press Ctrl+P, Excel locks up. This oddly specific freeze almost never comes from your file. It comes from the printer Excel is trying to talk to. Here is why, and the fix.

Here is what surprises everyone: Excel consults the default printer driver constantly, not just when printing. Page setup, margins, scaling and Print Preview are all rendered using the printer's driver and its reported paper sizes. A corrupt, outdated or network printer driver therefore freezes Excel in a very specific pattern — everything fine until anything page-related happens. The diagnostic below takes three minutes and is nearly foolproof: change the default printer to a built-in virtual one and see if the freeze vanishes.
Microsoft Excel — Ctrl+P pressed
Backstage — Print
Printer: Office Printer (network) — driver not respondingMicrosoft Excel is not responding
Test: switch default printer to Microsoft Print to PDF
Result: Print Preview opens instantly
If changing the default printer cures the freeze, Excel was never the problem — the printer driver was.
1
Run the Three-Minute Printer Test
Do not reinstall anything yet. First prove where the fault lives.
Save your work. In Windows go to Settings → Bluetooth and devices → Printers and scanners
Turn off Let Windows manage my default printer, then select Microsoft Print to PDF and set it as default
Return to Excel and open Print Preview with Ctrl + P
Preview opens instantly → the original printer's driver is guilty. Still frozen → the cause is in the file or Excel; test the file on another PC and try excel /safe
2
Repair the Real Printer Driver Properly
A driver that freezes one program usually has a damaged install. A clean reinstall — not an update on top — is the reliable cure.
Download the latest driver for your exact printer model from the manufacturer's website before removing anything
In Printers and scanners, remove the printer. Then press Windows + R, run printui /s /t2, and remove the old driver package from the Drivers tab
Restart the PC, install the fresh driver, add the printer again, and set it back as default
Prefer the manufacturer's full driver over the generic class driver Windows sometimes picks — page-size reporting is exactly where generics misbehave
3
If the Printer Is on the Network, Check the Path
Network printers add a second failure mode: Excel is not frozen, it is waiting — for a printer that is offline, asleep, or reachable only through a dead IP address.
Confirm the printer is on and reachable: ping its IP address from Command Prompt with ping followed by the address
If the printer's IP changed (common when the router assigns addresses automatically), remove and re-add the printer so Windows finds its current address
Ask your IT person to reserve a fixed IP for the printer — it prevents this entire class of freeze from returning
As a daily workaround, keep Microsoft Print to PDF as default and choose the real printer only inside the Print screen when you actually print
4
Rule Out the File-Side Printing Causes
Occasionally the freeze really is the workbook — one damaged print setting can do it. This is quick to test.
Copy one sheet's data into a new workbook and try Print Preview there — instant preview means the original file's page setup is damaged
In the original, open Page Layout → Page Setup on each sheet and clear odd print areas or extreme scaling values
Remove defined print titles that point at deleted rows or columns, under Page Layout → Print Titles
If one sheet is the offender, rebuild that sheet in the new workbook and leave the damaged one behind
🔴 Honest note for office users: if every PC in the office freezes with the same shared printer, the driver or the printer's network setup is at fault — not five broken Excel installs. One clean driver deployment fixes the whole office; reinstalling Excel fixes none of it.

Why does Excel need the printer when I am only editing?
Excel renders the sheet using the default printer's metrics — paper size, printable area and font handling — so that what you see matches what will print. That is why a broken printer driver can freeze Excel during Page Setup, Print Preview and sometimes even normal editing, while Word or other apps behave differently.
Print Preview works with Print to PDF but freezes with my printer. What now?
The test has done its job: the printer driver is the fault. Reinstall the driver cleanly as in Fix 2 — remove the printer, remove the driver package with printui /s /t2, restart, then install the latest driver from the manufacturer's site for your exact model.
Can a printer freeze Excel for the whole office at once?
Yes. If all PCs share one network printer with a bad driver or an unreachable IP address, all of them can hang in the same print-related moments. Check the printer's power, network and IP address before touching anyone's Office installation.
