📋 Overview & Step-by-Step Guide

1

Understand the Two Pieces of the System

There are two products here, not one. Nextcloud is the home base: it stores the files, manages users and permissions, and handles sharing. OnlyOffice Docs is a separate document server that Nextcloud calls whenever someone opens a file for editing. Both are free and open source for this use, and together they give a small office the Google Workspace or Microsoft 365 experience — on an office PC, a NAS or a rented VPS that you own and control, with no per-user monthly bill.

📌 Note: the two products update on their own schedules. Whoever runs this system does a small slice of what Google or Microsoft engineers do for their clouds — applying updates, watching disk space, keeping backups. This guide starts where installation ends; the installation itself is covered in separate setup videos on the channel.
2

See What the Office Actually Gets

One login gives every staff member a private file area, shared department folders, and a proper office editor that opens and saves real Word, Excel and PowerPoint files. Two or three people can edit the same document at the same time and see each other working. Files sync to office PCs through the desktop app, photos and scans come in from the phone app, and file version history is built in. Calendar and contacts are included and sync to phones. For a typical office — letters, quotations, spreadsheets, scanned documents — this covers the daily work completely.

3

Day One: Groups, Group Folders and One Naming Style

The setup choices that hurt offices are never technical — they are organisational. Decide them before staff start uploading, because changing them later means moving everyone's files around. Create one group per department before creating user accounts. Use group folders for departments and personal folders for personal work — never mix the two. And agree on one naming style for folders and files, written down where everyone can see it.

✅ Tip: groups first, users second. Permissions in Nextcloud follow the group structure, so an office that creates departments first never has to repair its sharing setup later.
4

Keep Admin Accounts Separate and Set Quotas

The person who manages the server should still keep a normal daily account for their own work — the admin account is for administration only. Then set a storage quota per user, so one person's video collection cannot silently fill the office disk. These two small decisions prevent the two most common small-office problems: accidental changes made with admin rights, and a full disk nobody saw coming.

5

Set the Sharing Rules for Outside the Office

Anything can be shared outside the office with a link — for clients and vendors that is exactly what you want — but every external link should carry a password and an expiry date. Inside the office, sharing follows the department groups from Step 3, so a person sees the folders of their own team and nothing beyond it. Set these rules once, on day one, instead of fixing individual shares one complaint at a time.

6

Connect the Staff: Browser, Desktop Sync and Phone Apps

Staff reach the system three ways: in the browser from any computer, through the desktop sync app that keeps office PC folders in step with the server, and through the phone app for photos, scans and quick file access. Roll these out department by department, using the groups you already created — and when someone says "I deleted a file", check version history first: it usually solves the problem in a minute.

7

Run It Month to Month — and Know the Honest Limits

A realistic month for a 10 to 30 person office: apply Nextcloud and system updates once, glance at the backup report, add or remove a user or two, and answer the occasional deleted-file request. Budget roughly two to four hours a month of a competent person's time once the system has settled. A modest modern server (4 cores, 8 GB RAM, SSD storage) comfortably serves that size of office doing normal document work.

And the honest limits: this system replaces Drive/OneDrive storage, Dropbox-style sharing and the document editing part of Google Workspace or Microsoft 365. It does not replace your email hosting — Nextcloud is not a mail server, and its mail app is only a viewer for mailboxes hosted somewhere else. Keep email where it already is. The fit test is short: roughly 5 to 50 people, most work in office-type documents, and someone technical who is willing to own the server. If nobody can be responsible for it, a managed service is the honest answer.

⚠️ Warning: the software is free, but your time is not, and the data is still your responsibility. A self-hosted office works beautifully when one named person owns updates and backups — it fails quietly when everyone assumes someone else is doing it.
