📋 Overview & Step-by-Step Guide

1

Add Your Email Account in Outlook

Open Outlook and go to File → Add Account. Type your full email address and click Connect. For most modern accounts Outlook finds the settings automatically and you only enter your password.

If automatic setup fails, or you want full control over the settings, tick Advanced options → Let me set up my account manually on the same screen, click Connect, and choose IMAP or POP. The next two steps give you the exact server names and ports for both.

📌 If your email provider has two-step verification switched on, finish the sign-in in the browser window Outlook opens, or use an app password where the provider asks for one — your normal password may be rejected during manual setup.

IMAP Settings — the Correct Servers and Ports

IMAP keeps your mail on the server and syncs it to every device, which is why it is the right choice for almost everyone. Enter these settings exactly as shown.

Gmail accounts:

Gmail — IMAP Settings
Incoming server (IMAP): imap.gmail.com
Port: 993 - SSL/TLS
Outgoing server (SMTP): smtp.gmail.com
Port: 587 - TLS

Microsoft 365 / Outlook.com accounts:

Microsoft 365 — IMAP Settings
Incoming server (IMAP): outlook.office365.com
Port: 993 - SSL/TLS
Outgoing server (SMTP): smtp.office365.com
Port: 587 - STARTTLS

In More Settings → Outgoing Server, tick "My outgoing server (SMTP) requires authentication" and leave "Use same settings as my incoming mail server" selected. On the Advanced tab, match the ports and encryption methods above — a wrong port or encryption type is the single most common reason an account fails to connect.

3

POP Settings — Servers, Ports and One Important Tick

POP downloads mail onto this one computer. Use it only when you really need a local copy — for example an old mailbox you want to archive into a PST file. First make sure POP is enabled in your mailbox settings on the web (in Gmail: Settings → Forwarding and POP/IMAP).

Gmail accounts:

Gmail — POP Settings
Incoming server (POP): pop.gmail.com
Port: 995 - SSL/TLS
Outgoing server (SMTP): smtp.gmail.com
Port: 587 - TLS

Microsoft 365 / Outlook.com accounts:

Microsoft 365 — POP Settings
Incoming server (POP): outlook.office365.com
Port: 995 - SSL/TLS
Outgoing server (SMTP): smtp.office365.com
Port: 587 - STARTTLS
⚠️ In More Settings → Advanced, tick "Leave a copy of messages on the server". Without it, POP can remove mail from the server as it downloads — and then that mail exists only on this one PC.
4

Create a New Outlook Profile

Many stubborn Outlook errors are not in the account at all — they are in a damaged profile. A fresh profile is the cleanest fix, and your mail stays safe on the server (IMAP) while you do it.

Close Outlook completely. Open Control Panel → Mail (Microsoft Outlook) → Show Profiles → Add, give the new profile a name, and add your email account using the settings from Steps 2 or 3. Back in the Mail dialog, select "Always use this profile" and pick the new one, then start Outlook.

✅ You can also reach the same dialog from inside Outlook: File → Account Settings → Manage Profiles. Keep the old profile until you have confirmed the new one works — then remove it.
5

PST and OST Files — What They Are and Where They Live

Outlook stores your data in two kinds of file. A PST file holds POP mail and local folders — it is the only copy, so it matters. An OST file is just an offline mirror of an IMAP or Microsoft 365 mailbox; the original stays on the server.

The default locations are:

PST File Location
C:\Users\YourName\Documents\Outlook Files
OST File Location
C:\Users\YourName\AppData\Local\Microsoft\Outlook

Replace YourName with your Windows user name. To see the exact file for any account, go to File → Account Settings → Data Files, select the file and click Open File Location.

6

Repair a Corrupt PST with ScanPST

When Outlook refuses to open, folders go missing, or it reports errors about the data file, run Microsoft's built-in Inbox Repair Tool — SCANPST.EXE. Close Outlook first, then start the tool from its usual Office location (the folder name changes with your Office version):

ScanPST Location — Office 365 / 2021 / 2019
C:\Program Files\Microsoft Office\root\Office16\SCANPST.EXE

Click Browse, select your PST file from the location in Step 5, and click Start. If the scan reports errors, click Repair — the tool saves a backup copy of the original file before it changes anything, and large files may need the scan run more than once.

⚠️ OST files: do not repair these. If an OST is corrupt, close Outlook, delete or rename the OST, and restart Outlook — it rebuilds a fresh copy from the server automatically.
7

Fix Send/Receive Errors

When mail stops moving, work through these checks in order — the first two solve most cases:

1. Read the error number. 0x80042108 means Outlook cannot reach the incoming server, 0x80042109 means it cannot reach the outgoing (SMTP) server, and 0x800CCC0E means the connection to the server failed.

2. Recheck the server settings. Compare the account's server names, ports and encryption against Steps 2 and 3 character by character — one wrong digit in a port breaks everything.

3. Confirm the mailbox itself works. Sign in to the same account in a browser. If webmail also fails, the problem is the account or the provider, not Outlook.

4. Test without interference. Briefly pause any third-party antivirus email scanning and try again — security software blocking Outlook's ports is a frequent hidden cause.

✅ If every setting is correct and send/receive still fails, stop fighting the old configuration: create a new profile (Step 4) and add the account there. A damaged profile is the last and most common cause.
