📋 Overview & Step-by-Step Guide

1

What a Silver Licence Actually Allows

TallyPrime Silver is a single-user licence. Tally Solutions states it plainly: Silver is meant for using TallyPrime on one computer at a time, and in a LAN environment only one user can access the licence at a time. The licence is not locked to one machine forever — it is locked to one session at a time. The PC can change; the count cannot.

Gold is the opposite design: a multi-user licence, activated on one system and then shared with multiple users working simultaneously on the same company data over the same local network. The accounting features, GST features and reports are identical in both — the only real difference is how many people can work at the same time.

What Happens on the Second PC

A TallyPrime licence is served by the machine where it is activated. When Tally starts on any PC, it asks that licence service whether a seat is free — and a Silver licence has exactly one seat. So when PC 1 already has Tally open and PC 2 starts TallyPrime with the same licence, PC 2 finds the licence but is told the seat is occupied, and it cannot open a licensed session. Nothing is broken — the licence is doing exactly what a single-user licence is designed to do.

⚠️ The Educational Mode trap: when no licensed seat is available, Tally may offer to start in Educational Mode. Refuse it for real work — it is a learning mode, not your books. Entries made there are not a safe way to keep billing, and they surface as problems later, including at GST filing time.

The Legal Handover Between PCs

Because Silver is limited to one session rather than one machine, the licence can move between desks — this is the documented handover:

1. On PC 1, close every TallyPrime instance completely — Tally's own licensing rule is that all instances currently using the licence must be closed before another user can take it.

2. On PC 2 (on the same LAN), start TallyPrime. It now finds the seat free and opens a licensed session.

That is the whole trick, and it is not a trick at all: one licence, one user at a time — the PC changes, the count does not.

Route One — Remote Access to the Licensed PC

A Silver licence limits where Tally runs, not how many eyes can reach that one running Tally. Keep TallyPrime and its data on the one licensed PC — the accounts PC — and let the second person connect to that PC itself with a remote desktop tool. There is still exactly one Tally, on one PC, using one licence; the second person is simply reaching that PC from somewhere else. Tally's own built-in remote access can also be used to view data and reports from the licensed installation.

📌 The honest limit: a normal Windows PC allows one interactive session at a time, so this route works on timing discipline — for example, the owner working from home in the evening while the desk is free. It does not create a second simultaneous user.
5

Route Two — Tally on Cloud

When the second PC is not in the next room but in another home or another city, the LAN routes stop applying. Tally on cloud means your one licensed TallyPrime installation runs on a rented server in a data centre instead of on a PC in the office — Tally offers its own cloud route (TallyPrime on AWS), and many providers host Tally on their servers too. The licence is activated once, on that server; the data lives on that same server; the office PC, home laptop and travelling laptop only connect to it.

📌 What cloud does not change: moving a Silver licence to the cloud does not turn it into a multi-user licence — it is still one session at a time. Cloud changes where the one PC lives, not the licence maths.
6

Route Three — Upgrade to Gold or a Second Licence

If two people genuinely need to enter vouchers at the same time in the same office, the legal answer is Gold: one licence, activated on one system, shared by many users on the same LAN, all working on the same company data at the same moment. Tally upgrades Silver to Gold for the difference in price, not the full price again — and your company data and settings carry over. Confirm the current prices on the Tally Solutions official site before paying anyone.

For a second branch in another location, Gold does not stretch across the internet — it is a LAN product. The honest branch designs are: host the licensed Tally on one cloud server both branches reach, or run the head office on Gold with the branch entering locally and data synchronised by design. Where neither fits, a second licence for the second location is the clean answer.

✅ Pick by people, not features: one person at a time = Silver is enough. Two or more people at the same time on one LAN = Gold. Two locations = cloud or a per-location licence design.

Keep the Data in One Place

Ask offices that got into trouble with two PCs and Tally, and most will say the licence message was annoying but survivable — what actually hurt was data in two places: entries split across machines and balances that matched nothing. The discipline that prevents it:

✅ One master company data folder, on one machine — the most reliable PC in the office, on a UPS, that stays on during work hours. Everyone opens the company from that same location (subject to the licence) — the folder is opened, never copied.

✅ Take a daily backup of the data folder to a separate disk or cloud.

⚠️ Never copy the data folder to a second PC "just for viewing" — within a week you own two versions of the truth, and Tally data does not merge back together later.
