📋 Overview & Step-by-Step Guide
Diagnose First — Think Like an Engineer
Before changing anything, identify the exact problem. Is the printer showing Offline, stuck in an Error state, or are jobs simply sitting in the print queue without printing? Check whether the problem is on one PC or on every PC, and whether the printer is connected by USB or over the network. An engineer's diagnosis tells you which fix to apply — spooler, driver or network — instead of trying random steps.
Restart the Print Spooler and Clear Stuck Jobs
Most "printer not printing" cases are a stuck Print Spooler service or a corrupt job blocking the queue. Open Command Prompt as Administrator and stop the spooler:
net stop spooler
Now open the spool folder and delete every file inside it — these are the stuck print jobs:
%windir%\System32\spool\PRINTERS
Then start the spooler again and try printing:
net start spooler
Clean Up the Driver with printui /s /t2
If printing still fails, the driver itself is usually corrupt — and simply reinstalling over the old driver keeps the problem. Open the Run box (Win + R) and launch Print Server Properties:
printui /s /t2
In the Drivers tab, select the problem printer's driver and remove it (choose "Remove driver and driver package" when offered). Then install a fresh copy of the driver — this clean install is what fixes errors that survive a normal reinstall.
Test a Network Printer with Ping
For a network printer, first confirm the PC can actually reach it. Ping the printer's IP address (here the printer is at 192.168.1.50 — replace it with your own printer's IP):
ping 192.168.1.50
If you get replies, the network path is fine and the fault is in the driver or spooler — go back to steps 2 and 3. If every request times out, the problem is the connection itself: check the printer's network cable/Wi-Fi and confirm it is on the same network with the IP you are pinging.
Share the Printer and Connect Other PCs
Once the printer works on the host PC, share it so the whole office can print: open the printer's Properties → Sharing tab, tick Share this printer and give it a simple share name. On each client PC, add the printer from the network (or browse to the host PC and double-click the shared printer) — Windows installs the driver from the host automatically. This is the setup covered in the full training, so one working printer serves every PC on the network.
