📋 Overview & Step-by-Step Guide
Check the PC Is Ready for Odoo
Odoo is two programs wearing one name: the Odoo server itself and a PostgreSQL database that stores everything. The Windows all-in-one installer bundles both, which is what makes this no-command route possible. Your machine needs to be modest but not ancient: a Windows PC or server that stays switched on during working hours (when it sleeps, Odoo stops for everyone), 4 GB RAM as a floor with 8 GB as the honest comfort zone once a few users and apps are active, about 20 GB of free disk — ideally on an SSD, because database work feels every bit of disk slowness — plus an admin login on that PC and a browser, since Odoo itself runs entirely in the browser.
Decide one thing now: is this a trial on your own PC or the real office server? Both use the same steps. Just know that moving later is possible but annoying, so a spare office PC beats your personal laptop for anything real.
Download the Installer from Odoo Only
Get the Windows package from the official Odoo download page at odoo.com — never from a file-sharing site. ERP installers from strangers are a classic way to hand your entire business database to someone else, and the official one is free anyway, so there is no reason to gamble. Download the Community edition package for Windows — Community is the free edition; the extra Enterprise features are paid (the last step explains the split).
Save the installer, then right-click it and choose Run as administrator. Windows may show a blue SmartScreen prompt because the file is newly downloaded; verify the publisher name reads as Odoo before you proceed, and stop if it says anything else.
Run the Installer and Tick Both Boxes
The wizard is short, and only one screen truly matters: component selection. Two items must both stay ticked — the Odoo server and PostgreSQL. Untick PostgreSQL and Odoo installs with nothing to store data in, which is the single most common broken install.
Next the wizard asks for the PostgreSQL connection details. The database username is preset — you will see openpg — and you set its password here: change it to something strong and write it down, because this one password guards every database on the server. Keep the option to install Odoo as a Windows service enabled: that is what makes Odoo start automatically with Windows and keep running in the background. Click Install and let it finish; on a normal office PC this takes a few minutes, not an hour.
Set a Strong Master Password
The whole server is guarded by one master password: whoever holds it can create, back up, restore or delete any database on this server through the database manager screen. It is the single most powerful password in Odoo, so set it to something long, random and unique, and store it in a password manager — never in a notebook under the keyboard, and never shared in a comment, screenshot or chat.
The master password lives in the server configuration file, odoo.conf, inside the installation folder. Treat that file itself like a key: anyone who can open it can read the password from it, so keep the server PC and that folder restricted to people you trust.
Open Odoo and Create Your First Database
When setup finishes, open your browser and go to this address:
http://localhost:8069If Odoo answers, the server is alive. A first-time install shows the database creation screen. Enter the master password from the previous step, then fill in the form: the database name — short, no spaces, like your company name, because you cannot rename it casually later; your email and a password — these become your first admin login, so use a real email you control and a strong password; the language and country — pick honestly, because the country drives the tax and accounting templates later; and demo data — tick it only for a practice database, and leave it unticked for the real company so you start clean.
Click Create database and wait — building a fresh database takes a minute or two. You will land on the app screen, logged in as admin.
Set Up the Company Before Entering Data
Resist the urge to start typing customers immediately. Go to Settings, open your company, and fill in the real details first: legal company name, full address, phone, email, the tax IDs your country uses, and your currency. Upload your logo here too — it appears on every invoice, quotation and report the system prints, so this five minutes is your branding on every document from now on.
Because you chose a country at database creation, Odoo prepares matching tax and chart-of-accounts templates when the accounting-side apps arrive, which saves real setup pain. Company details entered wrong here echo into every document, so this is the worst place in the whole setup to be lazy.
Install a Small Starter Set of Apps
From the app screen, install only what you will use this month. A sane starter set for most offices: CRM for leads and follow-ups in one pipeline, Sales for quotations that become orders, Invoicing for bills from those orders, and Inventory only if you hold physical stock.
Every app you install adds menus, fields and database weight, and unused apps confuse new staff. Odoo's app store shows thousands of extras, including paid and third-party ones of uneven quality — install nothing on day one beyond the plan. You can always add an app later in two clicks; removing one that people have already typed data into is a different, sadder story.
Know the Honest Limits Before Going Live
Three limits deserve plain words. First, your edition: this free Community install includes invoicing but not the full Accounting app — bank synchronisation, advanced reconciliation and many financial reports are Enterprise-only, as are Studio, Helpdesk, Payroll and the official mobile apps. Second, exposure: this PC serves Odoo on your local network, so staff on other office PCs open the server's own network address with port 8069, like this example:
http://192.168.1.50:8069That example address is this server PC's own LAN address — yours will be whatever address your server PC has. Do not forward port 8069 to the internet as-is: Odoo logins deserve proper HTTPS and hardening first. Third, backup: from this moment, this machine holds your business, so take the first backup today — not after the first failure — and make sure it covers the database and its file attachments together.
