📋 Overview & Step-by-Step Guide
Decide What Sync Means Before You Connect Anything
Most failed integrations fail here, before any setting is touched. The support team works in ServiceDesk Plus and the developers work in Jira, and the sync has to respect both sides. Write down three answers first: which side creates work (usually support raises requests in ServiceDesk Plus, and a Jira issue is created and linked when a request needs development), what the other side must see (status and priority for the help desk; the problem description and user impact for the developers), and what must never cross over (internal technician notes, HR or salary tickets, anything marked private). Decide this now, not after an embarrassing sync.
Install the Official Jira App in ServiceDesk Plus
Use ManageEngine's own Jira app rather than a random connector — it is built and supported by ManageEngine for ServiceDesk Plus. In ServiceDesk Plus, open the admin / apps area and install the Jira app from the ManageEngine Marketplace. This app is what lets technicians create Jira issues from requests, link existing issues, see the Jira issue's subject, priority, status and assignee inside ServiceDesk Plus, and sync notes and comments between the two platforms.
Connect Your Jira Site and Run the Test
In the app's settings, enter your Jira site address — for Jira Cloud it looks like the example below (replace yourcompany with your own Atlassian site name); for Jira Server / Data Center, enter that server's URL instead.
https://yourcompany.atlassian.net
Authenticate with a dedicated sync account — never your personal admin login (Step 7 explains why). For Jira Cloud this normally means the account's email address plus an API token created inside that Atlassian account. Then pick which Jira projects technicians may create and link issues in — start with one pilot project. Save, and run the connection test the app offers. Do not skip the test: a green test here saves an hour of guessing later.
Create or Link the First Jira Issue from a Request
With the connection live, open a request in ServiceDesk Plus that needs development work. Use the Jira option on the request to create a new Jira issue — the subject and description carry over — or link an existing issue by its key, for example NET-231. The same linking works from the Problems, Changes, Assets and Releases modules, not just requests, and one request can be linked to more than one Jira issue. Open the request again: the Jira issue's subject, priority, status and assignee now display inside ServiceDesk Plus and stay updated.
Turn On Comment and Note Sync — Carefully
The app can sync notes and comments between ServiceDesk Plus modules and Jira issues. This is the feature users feel most — and the one that can hurt you if you switch it on blindly. Sync only public, requester-visible conversation by default, and test with one linked pair before rolling it out: comment on the Jira issue and confirm it lands in the request, then reply in the request and confirm it lands in Jira. Tell both teams the rule in one line: write every synced comment as if the other team — and the user — will read it, because they will.
Map the Statuses Once, on Paper
ServiceDesk Plus and Jira workflows do not line up one-to-one, and pretending they do is the top cause of "the sync is lying" complaints. ServiceDesk Plus typically runs Open, In Progress, On Hold, Resolved, Closed, while a dev team's Jira workflow might run To Do, In Progress, Code Review, Testing, Done. Draw both lists side by side and decide what each Jira status should show as on the support side — Code Review and Testing usually both read as In Progress for the requester. Agree on the two statuses users actually care about: work has started and work is finished. And decide in advance whether a Jira Done may close the ServiceDesk Plus request automatically, or only mark it Resolved so a technician can verify with the user first — for user-facing tickets, verification-first is usually the honest choice.
Protect the Sync Account Like a Master Key
The account connecting the two systems can read and write tickets on both sides — treat it like a master key, because it is one. Create a dedicated account used by nothing and nobody else, give it access only to the Jira projects and ServiceDesk Plus scope the sync actually needs, and store its API token in your password vault with a calendar reminder to rotate it. When the person who set the integration up changes roles or leaves, rotate the token the same week.
Know the Honest Limits Before You Promise "Instant"
So nobody oversells this in a meeting: the official app is a link-and-visibility integration — create and link issues, track their key fields inside ServiceDesk Plus, and sync notes and comments. It is not a full mirror of every custom field and workflow transition on both sides; if you genuinely need deep two-way field sync, that is a job for a dedicated sync platform (tools such as Exalate or ZigiOps exist for exactly this), with its own licence cost. "Instant" in the video's title means seconds to minutes on a healthy connection, not zero — if a status looks stale, wait a moment and refresh before declaring the sync broken. And old, already-closed tickets do not backfill themselves: the sync works from the moment things are linked.
