📋 Overview & Step-by-Step Guide
Why New Mail Stopped — POP Delivers to One Data File
Classic Outlook does not deliver new POP mail to "the Inbox" in the abstract. It delivers to the Inbox of one specific data file — the delivery location. When you add a new PST, move to a fresh file, or restore a backup file, Outlook can quietly start treating that file as the delivery home.
Nothing is broken and nothing is deleted. Outlook is doing exactly what it was told — it is just filing your new mail into a file you are not looking at. Do not start by reinstalling Outlook or recreating the profile; those are the two "fixes" that waste the most hours on this problem.
Confirm the Mail Exists Before You Fix Anything
Two minutes of checking will save you hours of wrong fixes. Open your mailbox in a browser (webmail) and confirm new mail is reaching the server at all. Then, in Outlook, look at the folder pane and expand every data file listed — not just your usual one.
Check the Inbox of the other PST. In most of these cases your "missing" mail is sitting there, unread and complete. If the mail is in the other Inbox, stop troubleshooting the server — your problem is the delivery location, and the next steps fix it.
Check Which Data File Is Set as Default
Click File, then Account Settings, then Account Settings again. Open the Data Files tab. The file with the tick and the word Default beside it is where account delivery points by default. Note each file name and its location — Outlook data files normally live in the Outlook Files folder:
C:\Users\YourName\Documents\Outlook Files\archive.pst
Do not judge the files by name alone — names lie, and files get renamed, restored and copied until two of them sound identical. Judge by the evidence: your real mail file is large and its modified date changes every day, while a file created the day of the PST change and only a few MB in size is the newcomer. If the default tick sits on the new or wrong file, you have found your culprit.
Set the Correct File as Default and Restart Outlook
Stay on the Data Files tab and select the PST that holds the Inbox you actually use. Click Set as Default and confirm the tick moves to that file, then click Close.
Now close Outlook completely — File, then Exit, not just the window if Outlook minimises to the tray — wait a few seconds, and open it again. This one change fixes the majority of "not receiving after a PST change" cases.
Point the Account Itself at the Right Inbox
Setting the default fixes most profiles. If your account still delivers elsewhere — common when several POP accounts share one profile — set the account directly. Open Account Settings and stay on the E-mail tab, select the POP account that is not receiving, and click Change Folder near the bottom of the window. Expand the correct data file, select its Inbox, and click OK. Close the dialogs, restart Outlook, and test.
Prove It with a Test Mail and Rescue the Stranded Mail
From your phone or webmail — not from Outlook itself — send a mail to this account. In Outlook, click Send/Receive, then Send/Receive All Folders, and watch the mail arrive in the Inbox of the file you chose. Only when a real outside mail lands in the right place is the fix proven.
Everything that arrived during the broken period is safe inside the other file — it just needs moving. Open the Inbox of the wrong file, sort by Received date, select the stranded mails (click the first, then Shift-click the last), and drag them onto the Inbox of your real file, or right-click and use Move.
